How to Run a Church Facility Walkthrough

The Walkthrough Is Your Early Warning System

Most facility problems don't appear suddenly. A leak starts as a stain. A failing door closer gets harder to pull. A cracked stair tread gets a little wider. The walkthrough is how you find these things before they become emergencies.

A monthly walkthrough of the full building — done with a checklist and a phone camera — is one of the highest-value things a facility manager can do. It takes 1–2 hours depending on building size, and it will consistently surface issues you wouldn't have caught any other way.

How to Do It Well

  • Walk the same route every time so nothing gets skipped
  • Bring a phone — photograph every issue you find, not just the bad ones
  • Log every item as a work order immediately, even if it's low priority
  • Do it when the building is quiet, not during a busy event
  • Involve a trusted volunteer or second set of eyes once you have the pattern down

Exterior and Grounds

  • Parking lot — cracks, potholes, faded striping, drainage issues
  • Sidewalks and walkways — trip hazards, heaving, cracks
  • Building exterior — cracks in masonry, damaged siding, paint peeling
  • Roof — visible from ground: debris, ponding water, displaced flashing
  • Gutters and downspouts — blocked, pulling away from building, missing sections
  • Exterior lighting — burned out bulbs, damaged fixtures
  • Signage — damaged, faded, or missing letters
  • Dumpster area — secure, clean, no odor concerns
  • Landscaping — overgrowth near the building, irrigation issues, dead plants near entrances

Entry and Lobby

  • Entry doors — hardware functioning, closers adjusted, weatherstripping intact
  • Glass — clean, no cracks or chips
  • Flooring at entry — mats secured, no tripping hazard, no water intrusion staining
  • Bulletin boards and displays — current, orderly, nothing falling down
  • Lighting — all fixtures working, consistent brightness
  • Ceiling — tiles intact, no staining or water marks

Sanctuary and Worship Space

  • Seating — all chairs or pews intact, nothing broken or unstable
  • Stage area — flooring secure, no trip hazards near cables or stairs
  • Lighting — all fixtures working, no flickering; stage lighting operational
  • Sound system — visible equipment in good condition, no exposed wiring
  • Projectors and screens — no visible damage
  • Ceiling — tiles, paint, or finish intact; no water staining
  • HVAC vents — clear and unobstructed
  • Exit signs — illuminated
  • Fire extinguishers — present, tagged, and inspection current

Restrooms

  • Toilets and urinals — functioning, no running water, no leaks at base
  • Sinks — drains clearing quickly, faucets not dripping
  • Hand dryers or paper towel dispensers — operational and stocked
  • Soap dispensers — stocked and working
  • Exhaust fans — operating
  • Flooring — no cracked or loose tile, grout intact
  • Mirrors — clean, intact, secure
  • Ceiling — no water staining or damaged tiles
  • Doors and locks — latching and locking properly, privacy hardware functioning

Kitchen and Fellowship Areas

  • Commercial appliances — no unusual sounds or error codes
  • Refrigerator/freezer temperatures — verify with thermometer, log the reading
  • Hood and exhaust — filters clean, no grease buildup
  • Floor drain — clear, no odor
  • Plumbing under sinks — no evidence of slow leaks or moisture
  • Fire suppression system above range — inspection tag current
  • Pest evidence — droppings, gnaw marks, or entry points near plumbing

Classrooms and Offices

  • Lighting — all bulbs working
  • Doors — latching properly, no sticking or binding
  • Windows — operating correctly, locks functioning, no cracked glass
  • Flooring — no damaged carpet, loose tile, or tripping hazards
  • Ceiling tiles — intact, no staining
  • HVAC supply and return vents — clear

Mechanical Room and Utility Areas

  • Water heater — no leaks, pressure relief valve intact
  • Main electrical panel — no tripped breakers, no signs of heat or burning smell
  • HVAC air handlers — filters checked, no water pooling
  • Fire sprinkler riser — no leaks, gauges in normal range
  • Sump pump (if applicable) — operational, pit clear of debris
  • Emergency shut-offs — labeled and accessible
